Starting a new term

Put next term's blocks on sale while this term runs. Levels, new courses, enrolment dates, teachers and rooms, try-outs, holidays and early-bird codes, in order.

For owners and managers

A term is a set of courses that start around the same time. In Dansly each course is its own block, so "next term" means creating next term's courses and putting them on sale while this term's are still running. Nothing is copied or moved up automatically.

Who: owners and managers.

At Studio Voorbeeld, this term's blocks are in week 5. Next term starts in about six weeks, with Salsa · Beginners 1 already on sale and Salsa · Intermediate 2 still a draft.

1. Review your level lists first#

If next term adds or renames levels, change the list before creating courses, so each new course can pick the right step. See G02: Change an existing level list.

2. Create next term's courses#

Courses → New course for each block. There's no "copy a course", so create each one; the editor suggests the name from the style and level.

For each:

  • Level, Room, Teachers and Price;
  • Day, Time, First lesson and How many weeks. Weeks are always consecutive.

The checks panel on the right helps here. It flags:

  • a room that's already taken on one of the dates;
  • a teacher who's teaching elsewhere at that time;
  • another course in the same style on the same evening;
  • how many dancers are on the level below and could move up. That's who to tell about the next block.

3. Set enrolment dates#

  • Enrolment opens: leave it empty to open as soon as the course is published, or pick a date, for example to give current dancers a head start before you announce it publicly.
  • Enrolment closes: defaults to the first lesson.

The Courses list shows next term's blocks as Enrolling once they're on sale, and this term's as Running.

4. Deal with holidays#

There's no automatic holiday skipping: ten weeks means ten weeks in a row. For a week you know will be off:

  • Choose the first lesson so the block avoids it, or
  • publish the course, then cancel that week before anyone enrols, with a reason like "Autumn half-term". The course shows that week as cancelled, with your reason. See Cancel one date.

Cancelling a week doesn't add a replacement week at the end. If you want ten lessons, make the block eleven weeks and cancel the holiday week.

5. Try-outs and early birds#

  • Try-outs: with The first week only, next term's week 1 is where newcomers try. Check each new block offers one if you use Only the blocks I tick. See G06.
  • Early-bird code: a code with Only when enrolling this many days ahead rewards people who enrol early. See G14.

6. Publish#

Publish course on each. If your school is live, dancers can see and enrol straight away (from Enrolment opens, if set).

Publishing a course at a live school tells your dancers there's a new course, once. Dansly doesn't move anyone up a level or enrol them in the next block. Each dancer enrols themselves, or you add them; see G08.

7. When this term ends#

Nothing to do. A block ends after its last week and shows as Ended. Its dancers, registers and payments stay in your history, and on each member's page.
