Course editor

Every field on a course (a block of weekly lessons dancers enrol in once), from name and level to capacity, price, dates, enrolment window and the catch-up, fill-in and try-out switches.

For owners and managers

A course is a block of weekly lessons with the same group each week, paid once at enrolment. "Salsa Beginners 1, ten Tuesdays from 6 January, €120" is a course.

Where: sidebar → Courses → a course, or New course.
Who: owners and managers.

Draft, published, ended#

StateWhat it means
DraftOnly your team sees it. No lessons exist yet. You can change everything.
PublishedEvery week now exists as a dated lesson on your schedule, and dancers can enrol (once your school is live). Day, time and dates are locked.
EndedThe last week is over. The course stays in your history.
CancelledYou called off the rest of it with Cancel course. Listed under Ended; the weeks that ran stay in your history.

Buttons in the top bar:

  • Save draft and Publish course on a draft. Publish course needs a name and a room.
  • Save on a published course.
  • Delete draft removes a draft for good, after asking.
  • Unpublish puts a published course back to draft and removes its lessons ("Back to draft. The lessons were removed."). It only appears while nobody holds a seat, and asks first, saying how many dates come off the schedule. Publishing it again doesn't send dancers a second "New course" notice.

Saving a published course asks first when the change touches people already in it: a cap lower than the leads or follows enrolled (or, for solo work, the dancers enrolled), or switching a course with leads and follows in it to Solo work. Nobody is taken off either way. Go back saves nothing.

Publishing inside a draft school. If your school isn't live yet, a published course is on your schedule but no dancer can see it. The Before publishing panel says so. It appears for dancers the moment the school goes live; see Go live and payouts.

If you leave the page with unsaved changes, the app warns you first.

Cancel a running course#

Cancel course in the top bar, on a published course with at least one seat taken. It asks first, Cancel Salsa · Beginners 1?, and says what it will undo:

  • how many weeks still to come come off the schedule. Weeks already held stay, with their registers;
  • how many members lose their place, and how many single-evening places (try-outs, catch-ups, fill-ins) are cancelled. Everybody is told once, not once a week;
  • if people paid, a tick Refund €…, on by default. Members get back the share for the weeks that won't run: with 4 of 10 weeks left, 4/10 of what each paid. Someone on a single evening gets all of it back. Untick it only if you'll sort it out another way, for example moving everyone to the next block; they're then told to get in touch about the payment.

You can add a Reason (shown to dancers). Keep it running backs out. The button reads Cancel the course, Cancel it and refund €… or Cancel it without refunding. The app then confirms, for example "Cancelled. 4 weeks called off; 12 members told; 11 refunds sent."

The course is then Cancelled (listed under Ended) and can't be enrolled in. There's no undo.

The block#

Name#

What dancers see in the schedule. While you haven't typed one, it's suggested from the style and level ("Salsa · Beginners 1"). Once you type your own, it stays. The name is only a label: matching for catch-ups and fill-ins uses the Level field, not the words in the title.

Style#

One of the styles you teach, or No style. Changing the style clears the level, because each style has its own list.

Level#

A step from this style's level list, or Any level. The last option, Set up … levels or Edit … levels, opens the level editor without leaving the course. The course keeps the step you picked, even if you rename it there. See Styles and levels.

Room#

Pick a building's room, or No room. You need a room before you publish, and the Before publishing panel reminds you. From the list you can also add a room, or your first building if you have none. A new room's Holds number fills in the course's capacity if that's still empty.

Teachers#

Search and pick one or more people from your team. Click a name's × to remove it. Leave it empty and the class shows as unstaffed. + Invite a teacher sends an invitation, but an invited teacher only appears in this list once they've accepted it; see Team.

After publishing, teacher and room changes carry over to all the coming weeks. To change a single date, edit that lesson from the schedule instead; see Change one date.

How big, and what it costs#

Solo work — no leads and follows#

Off by default, for partner dancing.

SettingThe capacity field isExample
Off (partner dancing)How many of each role12 means 12 leads and 12 follows, 24 in the room.
On (solo)How many people12 means 12 people in the room.

A solo course has no lead or follow choice when enrolling, and nobody is asked to fill in, because there's no balance to fix. Capacity can be 1–60.

Price (€)#

The price of the whole block, paid once at enrolment. You must fill it in. An empty box isn't a price, and the course won't save without one. To run a free course, type 0. The price is set on the course itself; credit plans don't pay for courses.

Schedule#

FieldLimitsNotes
DayThe weekday of every lesson.
TimeStart time. Prefilled with 20:00.
How long (minutes)30–240Prefilled with 60.
First lessonThe date of week 1. The checks warn you if it isn't on the chosen day.
How many weeks1–52Prefilled with 10. Every week in a row.

The editor shows the generated weeks as WK 1, WK 2 and so on. They're always consecutive weeks. There's no automatic holiday skipping: to skip a week, publish the course, then cancel that one lesson from the schedule. See Cancel one date.

Once the course is published, Day, Time, How long, First lesson and How many weeks are fixed, even before anyone enrols. To change them, Unpublish while nobody has a seat, or cancel and replace individual lessons.

Enrolment and payment#

FieldNotes
Enrolment opensOptional date. Empty means enrolment opens as soon as the course is published and the school is live.
Enrolment closesOptional date. Defaults to the first lesson, so once week 1 starts nobody new can enrol.

To say a course suits complete beginners, use No experience needed up to on the level list; see Styles and levels.

People who took a try-out can have their own window to join after enrolment closes for everyone else; see Try-out classes.

Catch-ups for this course#

Missed weeks here can be caught up elsewhere, and this group takes catch-ups. On by default.

One switch covers both directions:

  • On: a dancer in this course who reports a missed week can catch it up in another eligible class, and dancers from other groups can catch up here.
  • Off: neither. Use it when a block teaches its own material, like a choreography course.

This only works when catch-ups are on for the school. If they're off, the switch is kept but does nothing, and the editor offers a button to open Catch-ups. That button saves your course first, so nothing you typed is lost. A new course is saved as a draft; a published one stays published.

Fill-ins for this course#

Ask dancers when a week here is short. On by default.

When it's on and the school's fill-in automation is on, a week that's short on leads or follows gets a request to eligible dancers, following your Fill-in rules. The editor repeats your school's timing and gap, for example "Asks 4h before, at 1 short".

When it's off, no fill-in requests go out for this course, including when someone is marked absent. When the school's automation is off, no course asks, whatever this says, and the editor offers a button to open Fill-in rules (saving your course first, as above). Solo courses never ask for fill-ins.

Try-out class#

Offer a try-out on this block. Whether it matters depends on your school's Try-out classes settings, and the section heading tells you which case you're in:

School settingEffect of this checkbox
Try-outs offNone yet. Your answer is kept for when you turn them on.
Offered on open classes onlyNone.
Every block that fits the rulesNone. The block already offers one.
Only the blocks I tickTicking it offers a try-out on this block.

While they decide whether to join#

This appears when the block offers a try-out and your school gives newcomers time to decide. It controls what happens to a seat during that time:

  • Follow the school setting: use the answer set under Try-out classes.
  • Hold their seat: the block can't sell out underneath them while they decide.
  • Leave seats on sale: their place isn't kept, and somebody else may take the last one.

The checks panel warns you if the block offers a try-out on week 1 but gives nobody time to join afterwards.

Description and photo#

Description is the text dancers read on the course. Photo appears on the course card: wide, landscape works best. The preview on the right shows the card as dancers will see it, including Enrol, the dates, the room, the teachers and the price. It shows "—" until you enter a price.

The checks panel#

The panel on the right is called Before publishing for a draft and Checks for a published course. It flags:

  • whether the room is free on every date, or which class already has it;
  • whether each teacher is free at that time, or that the class is unstaffed;
  • a first lesson that isn't on the chosen day;
  • another published course in the same style on the same evening ("dancers may only manage one");
  • how many dancers are on the level below and could move up;
  • that your school is still a draft, if it is;
  • the try-out warning above.

These are warnings. Only three things stop you publishing: a missing name, a missing price, or no room. While your school has courses switched off, no course can be created or published.
