An invitation email didn't arrive

A team invitation or an emailed place in a class never reached someone, or the link doesn't work. Whether it was sent, expiry, the wrong account, and how to send it again.

For owners and managers

Two things are sent by email: a team invitation (a teacher or manager), and a place held by email for a dancer who has no account yet. In both, the invitation exists in Dansly whether or not the email arrived. So the fix is usually to send it again, or to tell the person yourself.

A team invitation#

Was it sent?#

When you invite someone, the app tells you straight away:

  • Invitation sent: "… has been emailed the invitation. It works for 7 days, and only for that address."
  • Nothing was sent: "… could not be emailed just now. The invitation is on your list and waiting." Use Send reminder on it to try again.

On Team, the invitation shows as Invited, with when you sent it, or Expired after 7 days.

Send it again#

From the invitation's menu on Team:

  • Send reminder: emails the same invitation again.
  • Renew and resend: for an expired one. It gets a fresh 7-day link.
  • Withdraw invite: cancels it, for example if you typed the address wrong. Then invite the right address.
They seeWhyWhat to do
"This invite has expired. Ask the school for a new one."More than 7 days.Renew and resend.
"This invite was already used."They, or someone with the link, accepted it already.Check Team: they may already be on it.
"This invite is not valid"The invitation was withdrawn, or the link is incomplete.Send a new invitation.
"This invitation was sent to …, and only that address can accept it. You are signed in as …."They're signed in with a different email address. The invitation only works for the address it was sent to.They sign out and sign in (or create an account) with the invited address. Or you invite the address they use.

Still nothing#

  • Ask them to check spam or junk, and search for an email from Dansly.
  • Check the spelling of the address on Team.
  • Some work email systems hold messages from new senders. A personal address often works better.

A place held by email#

When you add someone to a class or course by email and they have no account, their place is held until they sign up. See G08: Add a dancer, or invite one by email.

After adding, the app says whether the email went: "Emailed 1 person", or "We could not email … — tell them yourself." On the course's Who is in page they're listed under Invited, not signed up yet, marked not emailed if the email didn't go.

The place is held by the invitation, not by the email. So if the email didn't arrive:

  • tell them to sign up with exactly that address; the place is theirs as soon as they do;
  • or Cancel it and add them again, which sends a new email.

If they had to pay, the time to pay starts when they sign up, not when you added them.
