Sell tickets to a party
Set up a ticketed party from start to finish — early-bird and door prices, tickets for people who don't dance with you, what buyers see and receive, the door, and calling it off.
For owners and managers
Studio Voorbeeld throws a Kizomba night on a Saturday three weeks from now: 21:00 until 01:00 in De Loods, room for 80, €15 if you buy before the last week and €20 after, open to anyone. This guide sets it up and runs it.
Who: owners and managers. The door can be worked by anyone on your team.
1. Create the event#
Classes & events → New open class.
- Name: Kizomba night.
- Kind of evening: Event. Style, level and teachers disappear: nobody is taught at a party.
- Room: De Loods · Room 1.
- How many people fit: 80. Leave it empty for no limit.
- How long (minutes): 240, or leave it empty (four hours).
- When it runs: One-off, Start 21:00, Date the Saturday. The line underneath should read "That's 1 event, …".
Every setting is explained in Event editor.
2. Set the price#
Under How it's paid for, choose Per event.
For a single price, type it in Price (€). For an early bird:
- Does the price change? → By date.
- First row: Name Early bird, Price (€) 15, Hours before it starts 168 (a week).
- Second row: Name Door, Price (€) 20. The last row has no hours: it's the price from then on.
- Check the sentence under the rows: "€15 until 7 days before, then €20."
Prefer "the first 30 tickets cheaper"? Choose By tickets sold and put 30 in Tickets at this price. Buyers then see how many are left at €15.
The preview on the right shows what people will see: "€15 Early bird", and under Book, "Then Door €20".
3. Who may buy, and refunds#
- Anyone can buy a ticket, not only your dancers: tick it for a public party. Guests buy with their name, email and birthdate, and join nothing: they appear only on this evening's register.
- Refund a ticket given up in time: off by default for events, so paid is paid. Tick it if you refund; the window is your class cancellation window under Cancellations.
4. When tickets go on sale#
Opens: leave it empty to sell from the moment you publish, which suits a party announced weeks ahead. Or put a number of days before the event. Closes: leave it empty to sell right up to the start.
Add a Description and a wide Photo; both appear on the event card.
5. Publish#
Publish. The app confirms "Published. 1 event is on the schedule." If your school is live, the party is on your public page straight away.
Discount codes for Single visits work on tickets: see G14: Early-bird or newcomer discount if you want a code as well as, or instead of, a price that changes.
What buyers see#
- On your school's page, tapping the event opens a sheet with today's price and how long it lasts, for example "2 left at this price, then €20". Somebody who isn't signed in sees Buy a ticket · €15; your own dancers see Book. When it's full: "Sold out — every ticket has gone. Try another evening."
- At checkout, every price step, the ones that have gone struck through, and how many they want: up to 10 tickets in one order, at one price. When only two early-bird tickets are left, someone buying five can choose the door price for all five.
- A guest fills in First name, Last name, Email and Birthdate, then pays.
- Afterwards: an email with their tickets, and a ticket page with one code per ticket that they swipe through. "Show this at the door." The page shows the Name on the door, the date and place, and what was paid.
On the night#
Open the evening from Tonight → Door, and scan each code. See Let people in at the door. The evening's page counts who's in: "12 in / 58 on the list".
If you have to call it off#
- A one-off event: open it and choose End event. The dialog says how many places are cancelled and, if people paid, offers Refund the €…, ticked. Everyone holding a ticket is told.
- One evening of a repeating event: cancel that date instead; see Cancel one date. Paid tickets are refunded unless you untick the refund.
